Terms and Conditions of Attendance


1. Introduction

1.1. It is a compulsory element of the registration process to read and accept these terms and conditions. All delegates who register agree to be bound by, and comply with, these terms and conditions.

1.2. It is the delegate's responsibility to read and understand these terms and conditions.

1.3. The organisers reserve the right to change any aspect of these terms and conditions at any stage before, during or after the conference; it is the responsibility of the delegate to read in full any changes to the terms and conditions. Delegates agree to be bound by these changes. The most up to date version of the terms and conditions will be available at www.amunc.net.


2. Definitions

For the purposes of these terms and conditions of attendance:

"Conference" means the 2008 Asia-Pacific Model United Nations Conference, including all training, committee and plenary sessions and social events.

"Costs of accommodation" means the standard bed or room rate payable to the accommodation provider for the duration of the period of the conference and does not include other room or accommodation service charges, penalties, damage or any other non-essential costs that may be incurred by the delegate.

"Delegate" means an individual, whether part of a group or otherwise, who having paid their registration fee in full is entitled to attend the 2008 Asia-Pacific Model United Nations Conference and includes those registered as Directors, Assistant Directors as well as those registered as delegates.

"NGO" refers to a participant who registers as a non-governmental organisation; NGOs are not considered full-paying delegates and are not able to participate in the conference in the same way as a delegate.

"Registration fee" means all monies owing to AMUNC 2008 Limited, the payment of which entitles an individual to attend the 2008 Asia-Pacific Model United Nations Conference.

"Substitution" means any circumstance where a delegate who has paid in full is unable to attend the conference and arranges for another delegate to attend the conference in their place, in negotiation with the organiser.

"The organiser" means AMUNC 2008 Limited, a company registered under the Corporations Act 2001 in Australia, being the organiser of the 2008 Asia-Pacific Model United Nations Conference.


3. Conference events and registration

3.1. In order to attend AMUNC as a delegate, participants must pay in full the conference registration fee by the due date.

3.2. The registration fee entitles delegates to one place at all conference committee sessions, all scheduled guest speaker sessions, one compulsory delegate training session, committee dinner, all social events, Opening Ceremony, General Assembly, one ticket to the Finale Ball, and delegate packs.

3.3. Delegates are required to attend the following compulsory events: one obligatory training session on Sunday 6th of July 2008; and all day events from Monday 7 July 2008 to Friday 11 July 2008.

3.4. Any individual participating as an NGO is registered without requiring payment. NGO participants are entitled to attend all committee sessions and one compulsory training session only.

3.5. Where a delegate has elected for the organiser to arrange accommodation, an additional accommodation fee will be incurred, over and above the conference registration fee.

3.6. Except as provided for in Clause 3.5., the registration fee does not include travel costs to or from the conference or the delegate's costs of accommodation.

3.7. Although the organiser will endeavour to accommodate all country and committee preferences, the organiser does not guarantee that any delegate will receive those countries or committees nominated as the delegate's preference.

3.8. Where a committee is cancelled, the organiser will ensure that delegates who have registered for that committee will be allocated to another committee.

3.9. The conference schedule is given in good faith, however, the organiser reserves the right to amend or cancel events or certain committees in the published programme at any time.

3.10. The organizer reserves the right to amend, change or cancel any committee topics up until the date of the conference.

3.11. The organiser recognises and accepts all obligations under the Trade Practices Act 1974 and in no way intends to restrict or prevent any recourse a delegate may have under that Act.


4. Payment of Registration Fee

4.1. The registration fee must be paid in full by 6 June 2008.

4.2. A place at the conference will only be confirmed once the registration fee is received in full.

4.3. Places at the conference are limited and are allocated when payment is received in full. Registering for the website, partial completion of the registration system and full completion of the registration system without payment in full will not secure a place at the conference.

4.4. Payment is to be made online, or by other means by prior arrangement with the organiser in the case of extenuating circumstances.

4.5. Where payment is made online, it must be made through our online payment gateway. The delegate's credit card information will not be stored by the organiser or passed on to any third party.


5. Cancellations, refunds and substitutions

5.1. Cancellations prior to 6 June 2008 will incur a handling and administration charge of $75.

5.2. A registered delegate who cancels prior to 6 June 2008 who elected for the organiser to arrange their accommodation will incur an additional charge. The charge will amount to the cost of one night's accommodation at their elected provider, or the cancellation fee from the elected provider, whichever is greater.

5.3. Cancellations on or after 6 June 2008 will not be refunded.

5.4. A delegate who cancels after 6 June 2008 who has elected to have the organiser arrange their accommodation will not receive a refund of their costs of accommodation.

5.5. Substitutions can be made up until 6 June 2008, with written notice to the organiser. The organiser reserves the right to accept or deny the request for substitution.


6. Accommodation

6.1. Except as provided in Clause 6.2., delegates are responsible for organising their own accommodation and for all associated costs of accommodation.

6.2. A delegate may elect for the organiser to arrange their accommodation. Delegates who do so are responsible for paying their costs of accommodation to the organiser, who will pay the accommodation provider on the delegate's behalf by the pre-determined date.

6.3. The organiser is not responsible for paying costs of accommodation on the delegates' behalf unless the delegate has paid their registration fee, including costs of accommodation, in full by the pre-determined date.

6.4. Any delegate who uses an accommodation provider, whether through the organiser or otherwise, is subject to the terms and conditions of that provider.

6.5. All accommodation booked on behalf of the delegate is subject to the availability of their selected preferred provider. The organiser cannot guarantee that the delegate's preferred option will be available, but will do its best to accommodate the preferences of the delegate.

6.6. In the event that the preferred option is unavailable, we will notify the delegate and endeavour to assist the delegate in arranging alternate accommodation.

6.7. Where funds are held by the organiser on behalf of the delegate for the purposes of paying costs of accommodation, and for any reason their preferred provider is unavailable, these funds will be refunded to the delegate in full.

6.8. Where the delegate has elected for the organiser to arrange accommodation on their behalf, the organiser shall not be liable for any costs or charges incurred by the delegate with respect to room or other accommodation services, mini-bar costs or any other charge or expense of accommodation other than the standard room or bed rate.

6.9. In accepting these terms and conditions, delegates also accept the standards of behaviour and conduct for accommodation as outlined at www.amunc.net.


7. Jurisdiction and applicable law

7.1. All amounts stated in these terms and conditions are in Australian dollars.

7.2. All delegates must abide by the laws of Australia and South Australia, as well as any applicable by-laws, at all times.

7.3. The drinking age in Australia is 18. At some conference events, alcohol will be served. Where a delegate is under the age of 18, the delegate agrees to abide by the laws of Australia and not consume any alcohol and comply with the requests of staff members. Although all due care will be taken by the organiser to ensure that any delegate under 18 does not consume alcohol, the organiser takes no responsibility for the illegal consumption of alcohol at a conference event.

7.4. Delegates agree to comply with the relevant regulations regarding smoking, alcohol consumption and illicit substance use, as provided by South Australian and Australian laws and the regulations of all conference venues, including The University of Adelaide.

7.5. These terms and conditions shall be governed by and construed in accordance with the law of Australia and South Australia. Disputes shall be exclusively subject to the jurisdiction of the courts of Australia and South Australia.


8. Expectations of behaviour and conduct

8.1. Delegates must insure their behaviour adheres to all behavioural standards specified by the organisers (these standards will be available online at www.amunc.net), showing respect to all fellow delegates and acting in the spirit of the conference.

8.2. When registering for AMUNC 2008 delegates agree to responsible use of drugs and alcohol throughout the duration of the conference. <br> <br>8.3. The organisers of the conference reserve the right to expel any delegates not complying with the behavioural standards described in 8.1. Where appropriate, a dispute resolution process will be put into place.

8.4. All delegates have access to a dispute resolution process, which will be available to the delegate at www.amunc.net and during the conference.

8.5. The organisers of the conference will endeavour to attend to all medical needs of the delegates known to the organiser; nonetheless the organisers do not take any responsibility for any medical situation that may arise.

8.6. Delegates wishing to bring guests or partners may do so with the written consent of the organisers. Attendance by guests or partners may incur a fee.


9. Liability and indemnity

9.1. To the full extent allowed by law, the delegate agrees not to hold the organiser liable for any sickness, injury, damage or loss suffered or incurred by the delegate during the course of the conference, or in the delegate's place of accommodation, including consequential or indirect losses or loss of profit, through registering for the conference, attending the conference, arranging accommodation, whether through the organiser or independently, alteration of the conference schedule, or any error or omission on the part of the organiser.

9.2. The delegate by accepting these terms and conditions hereby indemnifies AMUNC 2008 Limited and its servants and agents against and hold it harmless from all or any loss or damage, injury, actions, proceedings or claims arising from any act or omission of the delegate during the course of the conference, including the full period of the delegate's accommodation.

9.3. Delegates are responsible for taking appropriate insurance cover in connection with their attendance at the conference. Where the delegate is travelling from outside of South Australia to attend the conference, appropriate travel insurance should be purchased independently and in advance of any travel.


10. Privacy

10.1. Any personal information provided as part of the conference registration is used for the purpose for which it has been provided. Such information will not be passed to other organisations or individuals without the prior consent of the delegate.

10.2. Notwithstanding clause 10.1., all registered participants of AMUNC 2008 agree to have their email addresses passed onto to the organisers of future MUNs, unless they chose to unsubscribe in writing.
